What information we collect

We collect personal information that you provide directly when you:

• Submit the contact form (name, email address, and anything you include in your message)
• Book a place on the retreat (name, email, phone number, billing address, room preference, dietary requirements, and any health or accessibility information you choose to share)
• Arrange airport transfers (name, arrival details, flight information)

We also collect limited technical information automatically through cookies and analytics, such as your IP address, browser type, and how you use the site. We use Google Analytics to understand site usage. We may also use the Meta Pixel to measure and improve any advertising we run. These load only after you accept analytics cookies via our consent banner.

Payment information

Payments are processed securely by Stripe, which acts as our payment processing agent. We do not store your full card details on our systems; Stripe handles card data directly under its own security standards.

Why we use your information and our lawful basis

• To manage your booking and take payment — performance of our contract with you

• To comply with legal and accounting obligations — legal obligation

Special category data

If you share health, medical, dietary, or accessibility information so we can accommodate you safely, this is "special category" data under UK GDPR. We process it only with your explicit consent, use it solely to support your safe participation in the retreat, share it only with those who genuinely need it (for example, the venue's kitchen for dietary needs, or your teacher for relevant injuries or conditions), and delete it shortly after the retreat ends.

Who we share your information with

We share your information only as needed to run the retreat:

• Suryalila Retreat Centre (the venue) — for accommodation, meals, and dietary needs
• SierraVivaViajes (transfer partner) — for airport transfers you arrange
• Stripe — for payment processing
• GoHighLevel — our website and forms platform, which processes form submissions on our behalf
• Google Analytics, and Meta (if advertising is running) — for analytics and advertising measurement

We do not sell your personal information. Some of these providers (including Stripe, GoHighLevel, Google, and Meta) are based in the United States and may process data outside the UK/EEA; where they do, appropriate safeguards such as Standard Contractual Clauses are in place.

How long we keep your information

• Enquiry messages: up to [12 months] after our last contact with you
• Booking and payment records: retained for [6 years] to meet UK accounting and tax obligations
• Health and dietary information: deleted shortly after the retreat ends
• Analytics data: retained according to our analytics provider's settings
