Cancellation Policy

Securing your place
Your place is confirmed once we receive your deposit. The deposit is one-third of your total retreat fee.
Payment schedule (instalment plan)
If you book on the instalment plan, payments are taken automatically by Stripe on the following dates:
- One-third deposit — at the time of booking
- One-third — 1 April 2027
- Final third — 1 July 2027
Each instalment is non-refundable once it has been charged, because our costs are committed to the retreat centre as each payment is collected. If you cancel before a scheduled instalment date, that instalment will simply not be taken — but any payments already made cannot be refunded.
The instalment plan is available until 1 April 2027. Bookings made after that date must be paid in full at the time of booking, and the early-payment discount no longer applies.
If you pay in full (5% discount)
If you choose to pay in full upfront, you receive a 5% discount. Because the full amount is paid at booking, refunds for pay-in-full bookings are based on the date you cancel, calculated on the discounted amount you actually paid:
- Cancel before 1 April 2027: refund of two-thirds (2/3) of the amount you paid.
- Cancel before 1 July 2027 (from 1 April to 30 June 2027): refund of one-third (1/3) of the amount you paid.
- Cancel on or after 1 July 2027: no refund.
These dates are strict cut-offs. To qualify for a refund tier you must cancel before the date shown — for example, a cancellation on 1 April 2027 falls into the next tier, not the earlier one.
How to cancel
All cancellations must be made in writing to [email protected]. A cancellation is only valid once we have confirmed it by email. If you do not receive a confirmation from us within 3 working days of sending your cancellation, please contact us again, as your original message may not have reached us.
Where a cancellation is confirmed, it takes effect on the date your original written request was received by us. If you are on the instalment plan and are cancelling before a future instalment is due, please send your cancellation in good time so we can stop that payment being taken; we cannot refund an instalment that has already been charged.
Transferring your place
If you are unable to attend, you may be able to transfer your place to another suitable participant, subject to our approval and the venue's agreement. Please contact us as early as possible to discuss this.
Travel insurance — strongly recommended
Because payments are non-refundable (or only partially refundable, as set out above), we strongly recommend that you take out comprehensive travel insurance as soon as you book. Your insurance should cover cancellation, your flights and travel costs, medical expenses, and trip interruption, so that you are protected if you need to cancel for reasons such as illness, injury, or travel disruption.
Our responsibility
We are not responsible for any costs you incur in connection with the retreat — including flights, other travel, accommodation outside the retreat dates, or insurance — if you cancel, or in the event that the retreat is cancelled or changed for any reason. We strongly recommend that your travel insurance covers these costs.
If we cancel or change the retreat
In the unlikely event that we have to cancel the retreat, we will refund the payments you have made to us, or offer you the option to transfer to a rescheduled date. Beyond refunding what you have paid us, we are not liable for any other costs you may have incurred, such as flights, travel, or insurance — which is why comprehensive travel insurance is essential. We also reserve the right to make reasonable changes to the programme, teaching, or schedule where necessary, and will tell you as soon as possible if a significant change is required.
